to join in a roleplay, does the character need to be registered to your list of characters, or is it there for convenience of sharing information about said character?

mostly just convenience? some people don't like the idea of posting in-character with just a user account (as in, some don't like doing it, some don't like others doing it, while many don't mind at all.) it's very possible and not against the rules to RP as a character without making them a profile.
